

Terms of Service
BaseBox-DB is a cloud SaaS platform for music creators and rights holders. These Terms govern your access to the service, your responsibilities when managing catalog metadata and PRO workflows, and important limitations of liability.
1. Acceptance of Terms
BaseBox-DB (Alexandros Pilatos) (“we”, “us”, “the operator”) operates the website and cloud platform at https://basebox-db.com and related subdomains (the “Site” or “Service”).
By creating an account, signing in, or otherwise accessing or using the Service, you (“User”, “you”) confirm that you have read, understood, and agree to be bound by these Terms of Service (“Terms”) and our [Privacy Policy (GDPR)](/privacy-policy), which together form the agreement between you and the operator.
If you do not agree, you must not use the Service.
2. Changes to these Terms
We may update these Terms when the product, billing, or legal requirements change. The current version and effective date are shown at the bottom of each legal page.
When we publish a material update, we may ask you to accept the new version before continuing to use the dashboard. Continued use after notice of changes constitutes acceptance of the updated Terms, unless mandatory law requires otherwise.
You should review these Terms periodically. You are responsible for staying informed about the version in force.
3. Nature of the Service
BaseBox-DB is a cloud-hosted SaaS dashboard for music creators, publishers, and teams. The Service helps you organize song and contributor catalog metadata (including ISRC/ISWC, IPI, royalty shares, signatures, and release information), prepare template-based PDF/XLSX documents, run PRO registration workflows, manage digital split-sheet co-signing, and maintain archives.
The Service is a productivity and workflow tool. It does not replace legal, accounting, or professional advice, and it is not a PRO, CMO, or collecting society. We do not file works on your behalf unless you explicitly send exports or emails through your own configured channels.
4. User account management
You access the Service through a personal user account. You must provide accurate registration information and keep your contact details up to date.
By using the Service you confirm that you are at least 18 years old, or that you have obtained required parental or guardian consent if you are a minor in your jurisdiction.
You are responsible for safeguarding your credentials (password, passkeys, and session devices). Notify us promptly at info@basebox-db.com if you suspect unauthorized access. We may suspend or restrict accounts to protect the Service, other users, or when we reasonably suspect fraud, abuse, or a security incident.
You may request account deletion through Settings or by contacting us. Deletion is subject to retention described in our Privacy Policy and any legal obligations we must meet.
5. Subscription services
Certain features depend on your subscription tier (for example catalog limits, smart import, split-sheet quotas, and workspace caps). Plans are billed annually through third-party payment providers (PayPal or Viva Wallet). Checkout is a one-time annual payment for the selected period; we do not enable automatic recurring card charges through the Service unless we clearly disclose otherwise in the future.
Each paid subscription is tied to your account and, where applicable, to a workspace identified at checkout. Staff roles (admin/editor) and client roles have different permissions; you must use the product within those boundaries.
Feature availability may change as the product evolves. We will not materially remove paid features you rely on without reasonable notice, except where required for security, legal compliance, or discontinuation of the Service.
6. Subscription cancellation and refunds
No automatic renewal: Annual plans do not auto-renew. When your paid period ends, access reverts according to your plan unless you complete a new checkout.
EU right of withdrawal: If you are a consumer in the European Union and distance-selling rules apply, you may withdraw from your annual purchase within 14 calendar days of the day after payment, without giving a reason. To exercise this right, send a clear statement to info@basebox-db.com (or use Settings → Billing to view your subscription details and contact us). We will confirm receipt without undue delay.
If you request withdrawal within the 14-day period and have not substantially used paid-only features beyond what is necessary to evaluate the Service, we will refund amounts received within 14 days using the same payment method where possible.
After the withdrawal period: Fees already paid for the current annual period are generally non-refundable, except where mandatory consumer law requires otherwise. You may stop using the Service at any time; paid access typically continues until the end of the current period end date shown in Settings → Billing.
Discount codes and promotional pricing are subject to the conditions displayed at checkout.
7. Availability, maintenance, and data security
The Service is provided online only; there is no downloadable on-premises edition. We use reputable cloud infrastructure (including hosting and database providers in the EU/EEA where configured) and apply industry-standard security measures described in our Privacy Policy.
We strive to keep the Service available and secure, but the internet is not a fully secure medium. The Service is provided “as is” and “as available”. We may perform maintenance, apply updates, or temporarily suspend access with or without notice. We are not liable for interruptions caused by your network, device, browser, third-party outages, or force majeure.
You are responsible for maintaining appropriate backups of critical catalog exports if your workflow requires them. While we implement backups and recovery practices, you should not treat the Service as your sole archive for irreplaceable business records.
8. User obligations and acceptable use
- Use the Service lawfully and only store or process data you have the right to use for your intended purpose.
- Keep account credentials confidential; do not share accounts or circumvent authentication or workspace boundaries.
- Do not probe, disrupt, overload, or circumvent security, rate limits, or access controls of the Service.
- Do not reverse engineer, decompile, scrape, harvest, or attempt to extract source code, non-public APIs, or underlying models except where mandatory law expressly allows.
- Do not use bots, crawlers, or automated means to extract data from the platform, impersonate other users, or bypass fair-use limits.
- Do not upload false, forged, or stolen contributor identities, IPI numbers, signatures, or rights information.
- Do not use the Service to misrepresent ownership, royalty entitlements, or PRO registration status.
- Do not introduce malware, spam, or harmful code; do not frame, mirror, or index the dashboard without written consent.
- Do not use the Service for unsolicited commercial messaging or advertising without our prior written agreement.
- Report suspected illegal or prohibited use to info@basebox-db.com promptly.
9. PRO submissions and metadata accuracy
You are solely responsible for the accuracy, completeness, and legality of catalog metadata, contributor records, IPI entries, royalty shares, signatures, and documents you create, import, or export through the Service.
BaseBox-DB does not guarantee the accuracy of metadata you enter or upload. You must verify splits, identifiers, legal names, and declarations before submitting to any PRO, CMO, publisher, or other third party via email, export, or integrated flows.
Official premade templates and tooling do not constitute legal advice or an assurance that a filing will be accepted. Rejections, delays, or disputes with collecting societies remain between you and the relevant organization.
10. Your catalog data vs. our platform
As between you and the operator, you retain ownership of the musical works, metadata, contributor records, identifiers, signatures, and documents you submit or generate in your workspace, subject to third-party rights in the underlying content.
The BaseBox-DB name, brand, software (source and object code), UI/UX design, template infrastructure, workflows, documentation, and all platform technology are owned exclusively by the operator and its licensors. No license to copy, resell, sublicense, or build a competing service is granted except the limited right to use the hosted product during an active account in accordance with these Terms.
11. Intellectual property and restricted use
The Site, including its software, databases, design, and content we provide, is protected by Greek, EU, and international intellectual property laws.
Subject to these Terms, we grant you a limited, non-exclusive, non-transferable, revocable license to access and use the Service for your internal music-catalog and rights-management workflows. You may not:
- Reproduce, distribute, sell, rent, sublicense, or create derivative works from the Service or its code
- Decompile, disassemble, or attempt to derive source code except as mandatory law allows
- Remove or alter copyright, trademark, or proprietary notices
- Use the Service to develop or offer a competing product or to scrape or systematically extract platform data
- Circumvent digital rights, security, or usage restrictions
Any unauthorized use terminates your license automatically and may result in legal action. If you believe content on the Service infringes your rights, contact info@basebox-db.com with sufficient detail to identify the material and your claim.
12. Third-party links and services
The Service may link to or integrate with third parties (for example Google sign-in, PayPal, Viva Wallet, Cloudflare Turnstile, email providers, or PRO/CMO websites). Those services are governed by their own terms and privacy policies.
We do not control third-party sites and are not responsible for their content, availability, security, or practices. Your use of third-party checkout, OAuth, or external filing portals is at your own risk. Links do not imply endorsement.
13. Personal data
Processing of personal data is governed by our [Privacy Policy (GDPR)](/privacy-policy), which forms an integral part of these Terms.
By using the Service you acknowledge that you have read the Privacy Policy, including sections on purposes, legal bases, retention, subprocessors, security, and your rights. For data subject requests, contact info@basebox-db.com.
14. Limitation of liability
To the fullest extent permitted by applicable law:
- The Service is provided without warranties of uninterrupted, error-free, or fit-for-purpose operation.
- We do not guarantee the accuracy, completeness, or legal sufficiency of metadata, documents, or exports you or other users enter or generate.
- We are not liable for loss or corruption of data, lost profits, missed royalty or distribution opportunities, PRO/CMO rejections or delays, or harm arising from downtime, maintenance, third-party outages, or your reliance on generated documents.
- Our aggregate liability for any claim relating to the Service is limited to the greater of (a) amounts you paid us in the twelve (12) months before the event giving rise to the claim, or (b) fifty euros (€50), except where mandatory consumer or liability law provides otherwise.
- Nothing limits liability for death, personal injury, or fraud where such limitation is unlawful.
You use the Service at your own responsibility and must evaluate outputs before relying on them for legal or commercial decisions.
15. Indemnification
You agree to defend, indemnify, and hold harmless the operator, its affiliates, and personnel from claims, damages, losses, and expenses (including reasonable legal fees) arising from your use of the Service, your catalog content, your submissions to third parties, or your breach of these Terms or applicable law.
16. Suspension and termination
We may suspend or terminate your access immediately if you materially breach these Terms, if required by law, or to protect the Service or other users. You may stop using the Service at any time and may delete your account subject to our Privacy Policy.
Upon termination, your right to use the Service ends. Provisions that by nature should survive (including intellectual property, liability limits, indemnity, and governing law) remain in effect.
17. Governing law and jurisdiction
These Terms are governed by the laws of Greece. The courts of Athens, Greece have exclusive jurisdiction over disputes arising from or relating to the Service, subject to mandatory consumer protections that may grant you rights in your country of residence.
